New Year, New Systems: How I’m Using Notion, GCal, & ChatGPT to Scale in 2025
Listen to the podcast on Spotify / Listen on Apple
Welcome to a brand-new year! And with it comes the noise of the same old mantra: New Year, New Me. But let’s be real. You don’t need a new you. What you need are new systems. The secret to sustainable success isn’t about muscling through goals with sheer willpower. It’s about building burnout-proof systems that work for you — so you can keep hitting big goals without crashing by February.
In Episode 151 of the Burnout Proof Podcast, I walk you through exactly how I’m leveling up my systems for 2025. This companion blog will give you actionable insights to help you do the same.
Why Systems Over Resolutions?
Traditional New Year’s resolutions fail because they rely on willpower. You set a goal, and suddenly you’re supposed to magically be this new, disciplined version of yourself. But without systems, even your best intentions can crumble under the weight of life’s demands.
Instead of resolutions, think systems. Systems help you:
Automate your habits.
Prioritize what matters.
Free up mental energy.
Avoid burnout.
Here’s a reality check: It’s not about being a failure. It’s about having systems that actually support your ambition. The more sustainable your systems, the more capacity you have to focus on the life-giving activities that fuel you.
How I’m Tweaking My Systems for 2025
1. Daily Planner Overhaul in Notion
I revamped my Notion daily planner pages to make sure my big goals stay top of mind every day. Here’s what I did:
Vision Board at the Top: My word of the year and vision board are now front and center.
Income Goals and Priorities: I’ve added my income goals and daily priorities to ensure I stay focused.
Daily Themes: Each day has a specific theme — CEO day, client day, visibility day — with tasks and KPIs that align with that day’s purpose.
The result? Clarity and peace of mind. My planners are now a one-stop shop for everything I need each day.
2. Time Blocking with a Twist
I used to hate time blocking. But I realized that blocking out large swaths of time for needle-moving projects makes a huge difference.
Here’s how I do it:
CEO Days on Mondays: Dedicated time for big-picture strategy.
Project Blocks: I block out 2-4 hour chunks of time for specific projects.
This approach eliminates the chaos of figuring out what to work on. It’s already planned, giving me more focus and less decision fatigue.
3. ChatGPT: My AI Assistant
ChatGPT has become my virtual coworker — or, as I like to call it, my AI cheat code. Here’s how I use it:
Content Planning: ChatGPT helps me brainstorm social media posts, blog outlines, and newsletters.
Training Plans: It even created my workout plan for 2025, incorporating my running goals and upcoming fundraiser.
Custom Chatbots: I’ve trained my ChatGPT to understand my brand voice and preferences.
The key? I never start from scratch. ChatGPT gives me a solid starting point for everything, saving me hours of time.
How to Do Your Own Systems Audit
Ready to tweak your systems? Here’s a simple framework to follow:
Identify What’s Working: What systems are currently making your life easier?
Identify What’s Not Working: What feels clunky, chaotic, or time-consuming?
Create a Simplification Plan: List small tweaks and bigger overhauls. Prioritize changes that will have the biggest impact.
Implement Using Tools: Use Notion to organize your plan. Use ChatGPT to brainstorm ideas or create workflows.

Final Thoughts: It’s About New Systems, Not a New You
You don’t need to change who you are to achieve your goals in 2025. You need systems that work for you. When your systems are aligned, you free up your time, energy, and mental bandwidth for what truly matters.
Let’s make 2025 the year of burnout-proof success. Ready to audit your systems? Let’s get to it!
